We are looking for an experienced full-time on-site Human Resources (HR) Operations Manager who can collaborate with leadership to align HR practices with business objectives across the global teams. This role is key to ensuring the smooth operation of our HR function, with a primary focus on managing the employee lifecycle, payroll, benefits administration, compliance, vendor management and other HR and operation roles. You will work closely with our global team and external partners and third party vendors to ensure compliance, efficiency, and exceptional employee experience. The East Brunswick office currently has a hybrid work schedule, however, this role is required to be physically present in the office as required and needed.
The HR Operations Manager will report to the vice president, with dotted line reporting to the president of the company.
This role requires a proven track record in HR management and be able to work independently, excellent communication skills, and a friendly, approachable demeanor that fosters positive relationships with employees. The ideal candidate must consistently enforce company policies related to rewards and disciplinary actions and ensure compliance with all applicable federal, state, and local employment laws and regulations. The candidate must have experience in managing the HR department.

Essential duties and responsibilities
- Employee Lifecycle Management
- Manage recruiting, onboarding and offboarding processes, ensuring smooth transitions across the USA, UK, and India.
- Create, distribute, and process employment contracts and other HR documents efficiently.
- Provide timely support for employee HR inquiries, delivering high levels of service.
- Communicate and clarify job responsibilities, and performance expectations, including maintaining current job descriptions, and manage employee performance review processes.
- Manage disciplinary actions, rewards, and performance review processes to ensure evaluations are based on a defined, standardized system.
- Payroll and Benefits Administration
- Manage payroll and benefits processes, ensuring accuracy, competitiveness, and compliance across regions.
- Coordinate timesheet approval process between team leads to ensure accurate hours and project codes are entered in the system and approved.
- Support time off approval process and update time off system.
- Collaborate with outsourced payroll providers and brokers to streamline payroll and benefits processes.
- Partner with the Finance team on HR-related projects and reporting needs.
- Compliance and Workplace Policies
- Regularly monitor and implement HR best practices, legal requirements, and industry trends, particularly within the U.S. employment landscape, to ensure the organization's policies remain current and compliant.
- Manage timely, accurate, and legally compliant responses to a wide range of government agencies, including the DOL, IRS, EEOC, USCIS, state tax authorities, etc., to ensure the company’s position is clearly communicated and effectively advocated, while maintaining full adherence to applicable laws and regulations.
- Conduct regular HR audits to identify improvement areas and ensure compliance with regional and organizational standards.
- Work closely with outsourced HR professionals to keep compliance documents up to date and address HR issues in line with applicable laws and regulations.
- Design and update company policies and provide counseling to staff on all policies and procedures.
- Communicate and uphold company policies. Serve as a liaison between teams to ensure consistency in HR practices and communication.
- Collaboration and Process Improvement
- Work with executives to attract and retain resources.

- Design and implement initiatives to promote continuous learning and development for employees.
- Recognize employee birthdays and anniversaries, organize all aspects of the annual staff and client events. Facilitate all staff meetings, and other projects, as assigned.
- Perform HR and operation related assigned tasks.
Minimum qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field. Professional certifications (e.g. SHRM-CP, or PHR) are a plus.
- Minimum of 5 years of professional experience in Human Resources as an HR Manager, HR Generalist or HR Coordinator.
- In-depth knowledge of employment law and HR best practices.
- Strong management skills with the ability to independently lead the HR department with minimal guidance from leadership.
- Exceptional interpersonal, communication, and problem-solving skills, with the ability to work effectively across cultures and time zones.
- Strong analytical, problem-solving, and decision-making skills.
- Strong collaboration skills, with the ability to influence and build relationships across all levels of the organization.
